Home Meet Routine

The following is our standard agenda for a home meet to help you to know what to expect. Times and other details are subject to change.

  • Declaration Deadline: 10 AM on the Saturday before the meet
  • Location & Parking: Brighton Forest Pool
  • Pool Closes: 4:00 PM
  • Pool Setup: 4:00-5:00 PM
  • Swimmer Check-In: 4:30-5:00 PM
  • Volunteer Check-In: 4:30-5:30 PM
  • Warmups (Brighton Forest): 5:00-5:25 PM
  • Warmups (Guest): 5:30-5:55 PM
  • Volunteer Huddle: 5:40 PM in the breezeway
  • First Event: 6:00 PM

You must declare your swimmers for the meet by 10 AM on the Saturday before the meet. An email will be sent on Monday will the upcoming meet’s full agenda. The heat sheet will be shared on Tuesday. A typical agenda looks like the following:

We need all swimmers at the pool and ready to swim by 5:00 PM. Please apply sunscreen early so it has a chance to dry before arriving at the pool. This will make it easier for your swimmer’s event chart to be written on their arm at check-in.

Coaches, please arrive at 4:00 PM.

Please arrive at 4:00 PM if you are on the Setup Crew. The coaches will install the lane ropes and flags. The Setup Crew will need to set up the Swimmer Check-In, Announcer, Starter, and Timing stations; hang team and sponsor banners; install the starting blocks; set up the Clerk of Course area; set up the Concessions stand; and rope off the zero-entry pool and the area on the far end of the pool to give the timers the space they need.

Please arrive at 4:00 PM if you are a Parking Attendant. You will need to set up cones in the parking lot to direct traffic, install “No Parking” signs, prepare the right-of-way under the powerlines for cars, and then direct the visiting team to park according to the parking map and instructions.

Please arrive at 4:00 PM if you are the Meet Administrator. The Setup Crew can help you to set up the Starter and Timing stations. You will need plenty of time to make sure the timing system is operational before the Timers arrive.

Please arrive before 4:30 PM if you are checking in the swimmers as they arrive. Please write the event chart on each swimmer’s arm. Once the lane ropes and flags are set up, the Junior Coaches will assist with check-in as needed until warmups begin.

Please arrive by 4:30 PM if you are on the Concessions Crew. We can open the stand as soon as it is set up. The concessions stand is cash only and offers pizza, Chick-fil-A sandwiches, snacks, drinks, and bottled water.

All other volunteers should arrive between 4:30 PM and 5:30 PM. The earlier the better.

Parking is limited and we would like to reserve as many spaces as possible for our guests. Please review the parking information. We ask that all Silver Fins families walk, bike, or carpool.

Our swimmers will start warmups at 5:00 PM. Please listen to the coaches, as they will call age groups. Please have your swimmers ready to swim, with their caps and goggles on.

The Clerk of Course, Kid Pushers, Order of Finish Judge, Ribbon Distributors, Runners, Scorers, Starter, Stroke & Turn Judges, Timers, and TSA Representatives will meet in the breezeway at 5:40 PM to run through meet details, answer any questions, and confirm that everyone understands their role.

The coaches will lead team cheers at 5:50 PM. The Kid Pushers should have the relay swimmers lined up in the Clerk of Course area at 5:55 PM.

The Announcer will play the National Anthem over the speakers between 5:55 PM and 6:00 PM. The first race will start immediately after the National Anthem.

Throughout the meet, please listen to your Kid Pushers. They will gather each group to head to the Clerk of Course. Take care of bathroom trips between races. All swimmers 11 and older should follow the races so they know when to approach the Clerk of Course. All swimmers should have caps and goggles on before they enter the Clerk of Course area.

The order of events is as follows:

  • Medley Relays
  • Freestyle
  • Backstroke
  • Breaststroke
  • Butterfly
  • Freestyle Relays

The Announcer reports the score after the completion of each stroke. Fun relays are held after the completion of the breaststroke events.

Most 6&U swimmers can leave after their breaststroke races have been completed. However, we ask that everyone check with the coaches before leaving the meet to be sure that their swimmer is done.

All members of the Cleanup Crew can begin tearing down once we have finished the last events. This includes picking up all of the parking equipment and hauling trash to home receptacles, as we are not permitted to use the pool trash bins that belong to the HOA.

The Announcer reports the final score once the scorers and TSA Representatives have certified the results. All records and official results will be reported by the Meet Results Coordinator the next day.
