Volunteers
The season cannot happen without volunteers. Every family is expected to volunteer for six (6) shifts. Please keep this in mind as you plan your summer. Sign up to volunteer using the Job Signup buttons on the meet schedule.
There are various jobs, large and small, at different times from which to choose that best suit your family, your ability to watch your child swim, and your work schedule. Meet-day roles are split into shifts so that no one has to work an entire meet. You may choose to sign up for more than one shift during one meet or you can work half of every meet. Points are assigned to every job based on an estimate of the amount of time and effort that is required for that role. Those points equate to the number of entries your family receives in the volunteer raffle at the Awards Banquet. More demanding jobs qualify for additional entries in the raffle.
If you don't believe that your family can meet its volunteering commitments, please let us know so that we can help you find other ways to contribute. There are several volunteer coordinator positions and behind-the-scenes roles that we must fill every season. Volunteer coordinators are exempt from volunteering at meets and receive additional entires in the volunteer raffle.
Responsible for entering main event times into Meet Maestro. Manages the timing and scoring process with Time Drops and Meet Maestro. Organizes a team of timers and place judges. Works with the Meet Results Coordinator, TSA Representatives, Clerk of Course, and coaching staff before the meet to ensure that the heat sheet is prepared in Meet Maestro and Time Drops. Conducts the meet with the Clerk of Course and Starter. Works with the Meet Results Coordinator during and after the meet to ensure that the swimmers' times and scores are being recorded properly.
Ensures that the heat sheet is prepared before the meet in Meet Maestro in accordance with TSA regulations. Responsible for submitting the final score to TSA through Meet Maestro no later than 24 hours after the meet. Works with the Meet Administrator to manage the timing and scoring process with the use of the Time Drops timing system and Meet Maestro. Updates the team record book after every meet. Reports the final score and all meet results to the team after every meet.
Ensures that all race ribbons are awarded to our swimmers throughout the season. Responsible for making sure that the team has enough ribbons. Brings all ribbons to and from all home meets. Completes any unfinished main event ribbons and all participant ribbons after meets. Brings all completed ribbons to Thursday night practices for swimmers to receive. Coordinates delivery of ribbons to the visiting team.
Coordinates the meets with the opposing teams' TSA Representatives throughout the season. Officiates the meet. Ensures that TSA rules and guidelines are followed. Resolves any disputes with the opposing team's TSA Representative. Checks in volunteers at the meet. Distributes volunteer materials (vests, clipboards, heat sheets, pens, forms, etc.) before the meet. Guides volunteers to return materials once their role is complete. Delivers water and/or snacks to meet officials and the coaching staff. Attends monthly TSA meetings.
Roles

Cleanup
At home meets only. Packs up all equipment. Collects no-parking signs and parking cones. Restores the pool deck and right-of-way to their normal conditions.
Clerk of Course *
Organizes swimmers behind the starting blocks into the correct lanes and heats. Records deviations from the original heat sheet (i.e., scratches, substitutions, lane changes, etc.) for reconciliation with timing data.
Concessions
At home meets only. Sells food and drinks during the meet.
Kid Pusher
Gathers, prepares, and leads younger swimmers to the Clerk of Course in time for their events. Places swimmers in their assigned seats.
Order of Finish Judge *
Observes and records the finish for all main events for reconciliation with timing data.
Parking
At home meets only. Arrives at 4 PM. Places parking cones to direct traffic flow. Reserves two parking spaces for bikes. Reserves sponsor parking spots. Reserves two parking spaces for concessions. Sets up no-parking signs. Prepares the overflow parking area on the right-of-way. Directs cars to park until the meet begins.
Ribbon Distributor
At home meets only. Hands heat-winner and participation ribbons to swimmers of each exhibition heat as the swimmer exits the pool.
Ribbon Writer
Writes or places stickers on ribbons as the results come in from the Scorer. Files ribbons in the swimmers' folders.
Runner
Takes order-of-finish forms and DQ slips from meet officials and delivers them to the Scorer. Delivers the same documents to the Ribbon Writers once the Scorer has reconciled them.
Scorer *
Fulfills the role of Meet Administrator at home meets. Works with the opposing team's Meet Administrator at away meets to ensure that the swimmers' times and scores are being recorded properly into Meet Maestro.
Setup
At home meets only. Arrives at 4 PM. Sets up the check-in tables, speakers, sponsor tables, spectator ropes, Clerk of Course area, coaches' chairs, ribbons station, scoring station, and concessions tent, hangs the sponsor banners, and blocks the zero-entry end of the pool before the meet.
Starter *
At home meets only. Starts each event and heat. Calls swimmers for upcoming events to the Clerk of Course. Announces scores and records. Training is available, but not required.
Stroke & Turn Judge *
Verifies that main event athletes are swimming each stroke in accordance with TSA standards. Records disqualifications on TSA-provided forms. MUST HAVE TAKEN THE TSA STROKE & TURN CLINIC or provided USA Swimming credentials prior to the start of the season.
Swimmer Check-In
Checks in swimmers as they arrive. Writes each swimmer's event chart on their arm. Assisted by Junior Coaches.
Timer
Records swimmers' times using a timing device and/or stopwatch. Each timer is assigned a lane. There are two timers per lane.
Volunteer Check-In
Checks in volunteers as they arrive and distributes volunteer materials (vests, clipboards, heat sheets, pens, forms, etc.).
Volunteer Coordinator *
Ensures that all volunteer shifts are filled before the meet. Oversees volunteer check-in and makes sure the volunteers understand their jobs. Guides volunteers to return materials once their role is complete. Delivers water and/or snacks to meet officials and the coaching staff.
